The following FAQ addresses who we are and what sets custom eLearning apart from off-the-shelf solutions, the industries and organizations we serve, the types of training programs we develop, how our process works from discovery through delivery, what to expect in terms of timelines and investment, and how to take the first step toward building your training program.

  • Water Bear Design Studio is a custom eLearning development studio that designs and develops interactive, engaging online training experiences for mid-sized organizations. We partner with teams from a wide range of industries — from technology like SaaS and AI, manufacturing, hospitality, healthcare, corporate services, and more — to transform complex subject matter into clear, measurable digital training programs.

We specialize in instructional design, scenario-based learning, compliance training, onboarding programs, and custom interactive modules.

  • Custom eLearning development is the process of designing training specifically tailored to your organization’s goals, processes, systems, and learners.

    Unlike off-the-shelf courses, custom eLearning:

    • Reflects your real-world workflows

    • Uses your terminology and policies

    • Addresses your actual compliance requirements

    • Aligns with your culture and brand

Water Bear Design Studio builds training from the ground up to ensure relevance, engagement, and measurable results.

  • Off-the-shelf training is pre-built and generic. While it may cover broad topics, it rarely addresses the nuances of your organization.

    Custom eLearning allows you to:

    • Incorporate real scenarios from your workplace

    • Reinforce internal policies

    • Align with your systems and tools

    • Build training around your learners’ experience level

For mid-sized organizations, customization often leads to stronger engagement and better knowledge transfer.

  • Water Bear Design Studio uses an approach that weaves together the subject content (the what) with a visual and interactive strategy (the how) that many eLearning vendors overlook.  This allows us to create truly engaging, interactive training that increases content retention and empowers your learners to use new tools and processes effectively.

  • Yes. Mid-sized organizations are exactly who we built Water Bear Design Studio for. You're large enough to need scalable, consistent training across your teams but may not have the internal resources to develop it from scratch. We step in as a dedicated development partner, bringing instructional design expertise and a structured process that transforms your subject matter experts' knowledge into engaging, effective digital training.

Media elements are selected strategically to enhance learning outcomes, not distract from them.

Our Additional Services: Supplemental Materials

  • A learner guide is a structured document that summarizes the key concepts, processes, and takeaways from an instructor-led training program. It gives learners something tangible to reference during and after the training, which is especially valuable when they encounter a new situation on the job and need a quick refresher without revisiting the full course.

When done effectively, a well-designed learner guide also adds a layer of interaction to the training session by prompting reflection questions and providing space for learners to take notes.

  • A quick reference guide, also known as a one-pager, is a condensed, visually organized resource that captures the most critical steps or information from a training program on a single page or a small number of pages. It works best for process-driven or system-based training where learners need fast access to specific steps without searching through a full document. Think of it as the cheat sheet your learners will actually keep at their desk or that you can post around the office.

  • Supplemental materials improve training retention by giving learners a way to quickly reference key concepts and processes during and after training is complete. This is the same benefit that eLearning provides — if a learner needs a refresher, they can simply open the course and find what they need.

For organizations that rely on instructor-led training and don't have eLearning in place, supplemental materials like learner guides and quick reference guides serve that same purpose, keeping critical information accessible without requiring learners to sit through the full training again.

  • Yes. All supplemental materials are designed not only to align with the training it is associated to, but also with your organization's brand guidelines, including colors, typography, and visual style. The goal is for every deliverable to feel like a natural extension of your organization rather than something that was built externally.

  • Supplemental materials work alongside instructor-led training the same way eLearning works as a standalone digital experience — they give learners a structured resource to reference during and after training. For organizations that use both eLearning and instructor-led training, supplemental materials are typically paired with the instructor-led components, while the eLearning serves as its own self-contained reference tool. This allows each format to do what it does best while ensuring learners always have a way to revisit what they've learned.

Our Additional Services: Material Conversion

  • Most existing training materials can serve as a strong starting point for eLearning development. Common sources include PowerPoint presentations, instructor-led training materials, learner guides, standard operating procedures (SOPs), policy documents, and video recordings of live training sessions. If your organization has existing content that captures the subject matter, we can work with it.

  • A few signs that your current training materials may be ready for conversion include low learner engagement, inconsistent knowledge retention, difficulty scaling training across a growing team, or content that has become outdated and difficult to update. If your training is not delivering the results you need or is creating more work than it should, it may be time to explore a more effective format.

  • Yes. PowerPoint presentations are one of the most common starting points for eLearning conversion. Rather than simply transferring slides into a digital format, we use the existing content as a foundation and redesign it into a self-paced, interactive experience with scenario-based activities, knowledge checks, and a visual design that reflects your brand.

  • The core difference is the starting point. A conversion project begins with existing content that we restructure, redesign, and rebuild into a more effective learning experience. Building from scratch starts with a blank slate and is driven entirely by SME interviews and content development. Conversion projects can move faster since the subject matter is already documented, but both approaches follow the same structured design process to ensure the final product meets your learning objectives.

  • Timelines for material conversion are similar to standard eLearning development and depend on the length and complexity of the source material, the level of interactivity desired, and how much restructuring the content requires. In some cases, well-organized source material can accelerate the process. We'll provide a detailed timeline during the discovery phase once we've had a chance to review what you have.

Our Additional Services: Consultations

  • During a consultation, we take the time to understand your organization's training challenges, goals, and current state. From there, we provide expert guidance and roadmap on how to approach your specific situation — whether that means recommending a particular training format, reviewing existing content, or helping you think through a broader learning strategy. Every consultation is tailored to where you are and what you need.

  • You don't need a full project to work with Water Bear Design Studio. If you're not sure where to start, have a specific challenge you'd like a second opinion on, or simply want expert guidance before committing to a larger initiative, a consultation is a great option. We're here to help you make informed decisions about your training, regardless of whether that leads to a full development project.

  • Yes. If you have existing training that isn't performing the way you'd like, we can review it and provide honest, actionable recommendations. This might include suggestions for improving engagement, restructuring content, updating outdated material, or identifying gaps in your current training program. The goal is to give you a clear picture of where you are and a practical path forward.

  • Consultations are well suited for a wide range of training challenges, including low learner engagement, inconsistent knowledge retention, difficulty scaling training across a growing team, uncertainty about which training format is right for your content, or simply not knowing where to start. If you have a training problem you're not sure how to solve, a consultation is a low-commitment way to get expert perspective.

  • A consultation is a focused conversation or review designed to provide guidance, recommendations, and clarity without the scope and commitment of a full development project. It's a great way to get expert input on a specific challenge, validate your thinking, or explore your options before deciding on a path forward. If a full project turns out to be the right next step, we'll help you understand what that would look like.

Approach and Methodology

  • Our typical process includes:

    1. Discovery and needs analysis

    2. Subject Matter Expert (SME) interviews

    3. Content outline development with revision cycles

    4. Storyboard development with revision cycles

    5. Visual design and development with revision cycles

    6. Final review and sign-off

    7. LMS-ready delivery

    8. Project review and maintenance discussion

This structured approach ensures clarity, efficiency, and alignment.

  • The content outline, storyboards, and developed content all get two rounds of revisions.  The first is intended to catch any challenges with the material, and the second is to ensure the feedback was implemented as intended.  Additional revision rounds can be accommodated and are scoped accordingly.

  • We use industry-standard eLearning authoring tools and development platforms to ensure compatibility with modern Learning Management Systems (LMS).  We have the most experience with Adobe Captivate and Articulate 360 (Storyline and Rise), and final deliverables are typically SCORM- or xAPI-compliant and ready for upload to your LMS.

If your organization requires a specific authoring tool, we're happy to discuss compatibility during the discovery phase.

  • Yes. We design courses to be compatible with most modern LMS platforms that support SCORM or xAPI standards.  In cases where a platform has unique technical requirements, we address those during discovery conversations to avoid surprises at delivery.

If needed, we can coordinate with your LMS administrator to ensure proper testing and deployment.

  • Yes. Many clients engage us as an ongoing training development partner rather than for a single project.

Through our maintenance plans, we can provide:

    • Content update

    • Voiceover re-records

    • Broken link fixes

If additional modules or program expansions are needed, we'll scope a new project to best support your training needs.

  • Engagement is built by weaving together two areas of focus: the subject development (the what) and the visual and interactive strategy (the how).

    We focus on:

    • Realistic, relevant decision-making scenarios

    • Context-driven practice

    • Clear learning objectives

    • Progressive knowledge checks

    • Visual clarity

The goal is meaningful cognitive engagement that supports retention and transfer.

  • Scenario-based learning uses relevant examples that your workforce experiences in their day-to-day roles.  This type of learning allows an individual to make direct connections between the training content and their experiences, which increases retention of the material.

This type of learning works best for content that involves judgement, decision-making, or applying a process in real-world conditions.

  • Microlearning breaks your content down into small chunks, so learners can quickly locate very specific pieces of knowledge, as they need it.  This works well  when you are updating an existing system or process, but not all content is suited for microlearning.  Some topics that require foundational understanding or complex skill-building are better trained with a more comprehensive learning experience.

  • Instructional design is the bridge between a Subject Matter Expert (SME) and a learner.  When someone dedicates their career to a topic, it can be difficult to remember where they started.  Instructional design takes a step back and connects the beginning concepts to the complex ones in ways that anyone at any level can understand and learn from.

When done well, instructional design leads to training that learners actually understand, retain, and apply to their work.

Timelines and Investment

  • Development timelines depend on complexity, length, and level of interactivity. One 5-minute, interactive module may take 4 weeks to complete, but that does not mean that two 5-minute modules would take 8 weeks. We structure our projects so that the upfront work — discovery, SME interviews, and design decisions — informs the entire program, allowing subsequent modules to be developed more efficiently.

We'll provide a detailed timeline during the discovery phase so you know exactly what to expect.

  • Pricing varies based on:

    • Course length

    • Level of interactivity

    • Number of stakeholder reviews

    • Media elements (animation, voiceover, scenario branching)

    • Complexity of source material

Another factor that affects cost is whether the project is structured as fixed-price or time and materials. With fixed-price, the cost can be slightly less since the training strategy is agreed upon prior to starting the project. With time and materials, there is more flexibility if project scope or desired outcomes shift during development, but the overall cost is typically higher.

As a general reference point, a 5-minute, interactive module typically starts around $1,500.  After an initial consultation, we provide a tailored proposal aligned with your objectives and scope.

  • A typical 5-minute, interactive module starts around $1,500. Every organization has different needs and resources, so if you're unsure whether custom eLearning fits your current budget, reach out and we'll help you explore a learning strategy that makes sense for where you are right now.

  • Absolutely. Starting with a pilot module is a great way to experience our process, evaluate the quality of our work, and build confidence before committing to a full program. We can begin with an introduction module that orients learners to the training topic and sets expectations for what's ahead. If it works well, we can build additional modules that dive into the nuances of the material.

  • Published course files are provided upon final sign-off and project completion. Source files from the authoring tool are available for an additional fee. Any custom graphics, illustrations, or animations created during the project remain the intellectual property of Water Bear Design Studio, though licensing options are available if full ownership is desired.

  • It's important to recognize that training effectiveness cannot be determined by completion alone. There are many factors that contribute to how well eLearning helps your learners understand and apply new content — including knowledge check scores, post-training assessments, on-the-job performance metrics, and manager observations. During the discovery conversation, we'll discuss your key performance indicators (KPIs), target goals, and how your organization can realistically track them.

  • Yes.  We appreciate the work you've put into your brand and how you present yourself to customers and employees.  The colors, typography, image usage guidelines, and voice you have listed in your branding guidelines are followed closely to ensure your organization shows up exactly how you intend it to.
